THE SMALL PRINT

Terms and conditions for placing an order with Calendar Paper Co.

When placing your order you are agreeing to the following terms and conditions. Throughout the terms and conditions ‘you’ and ‘your’ refers to the customer, ‘we’ and ‘our’ refers to Calendar Paper Co.  

ORDERING & QUOTES

  1. When placing an order the design fee is due upfront to complete your booking, unless stated otherwise. 

  2. The remaining balance is required before your order is sent to print, unless stated otherwise. If your order has two print bookings (i.e. save the dates and invitations), the balance payment will be split into two payments of printing costs and P&P.

  3. For individual bespoke artwork or digital orders we require the full balance upfront. If we are printing the artwork (rather than delivering a digital file) you will receive a digital proof via email before we send to print.

  4. Quotes are valid for 30 days. This is due to possible changes in suppliers' costs. Upon booking the printing costs will be estimated and final printing costs will be confirmed during the design process. In most cases the estimated cost will be the final printing cost however please take into account that if you are booking far in advance printing costs may rise by up to 5%.

  5. We have a minimum order quantity for personalised items (excluding some on-the-day stationery) of 30 items which must reach the value of £100. Minimum quantities are set in place due to printer set-up costs.

  6. Upon ordering you will be booked into our design and production calendar. If you miss your booking, or do not supply the information for the required date, your design and production space is no longer guaranteed and turnaround time may take longer than quoted.

  7. If you require more of the same stationery items because you have ordered too little, minimum order quantities will still apply. With invitations we highly recommend ordering 10% extra in case of unforeseen changes to the guest list.

 

PAYMENT & CONTRACT

  1. The design fee is due upfront as a retainer to reserve the design and production space for your order- this is not refundable.The balance payment is also non-refundable as it is used for the production costs to create your personalised items. Payment for bespoke artwork or digital files is non-refundable as it covers the time spent creating the artwork. 

  2. Your booking will not be finalised until we receive your design fee payment. Please complete these in a timely fashion so that we can complete your booking for your chosen date. 

  3. Your invoice will clearly show the estimated printing costs for your order; any increase in costs, extra items or extra artwork charges that arise throughout the process will be added to your balance invoice. You will be advised of these in advance.

 

THE DESIGN PROCESS

  1. All proofs will be provided in digital form. These provide a mock-up of what your stationery will look like when printed, not an exact representation.

  2. You will be sent up to three rounds of digital proofs via the client portal. After this any further proofs will be charged at our hourly rate of £30 p/h. Please remember to give your full feedback and amendments at each stage of digital proofs. 

  3. Please note, if you have requested illustrations as part of your order, these will only be subject to minor amendments during the proof process.

  4. You are solely responsible for checking all the details of the digital proofs and cross referencing with the text you have supplied. Once approval has been given we are not liable for any errors. Once the order has been sent to print no more changes can be made.

  5. If an error has been made on your part and you realise once you have received your stationery, we will make every effort to reprint for you at the same price but please be aware minimum quantity requirements may cause a price increase.

  6. Time is of the essence during the design process, please respond to proofs within the timeframes given.

  7. For orders that include a set number of items (i.e. 5-7 on-the-day products) you are welcome to add items to the design list up until the start of your design booking, to make the most of the bundle offer. Once your order has been sent to print you may add additional new items but these will be subject to a separate design fee - this is because they will not be designed in your designated slot for which the initial fee covers, and will be sent to print at the same time.

 

PRODUCTION & PRINTING PROCESSES

  1. Orders will not be sent to print until the proof has been approved and the balance has been paid. 

  2. After you approve the proof your order will be optimised for print to ensure the best printing and production results.

  3. Whilst we do our best to centralise all designs, all printers experience a small percentage of movement during printing.

  4. Due to the nature of digital printing, colours may differ slightly when reprinted. We cannot guarantee a 100% exact colour match if you require a reprint or have stationery printed at different times.

  5. We do our best to represent the colours as close to true life as possible however colours can appear to look different from screen to screen, and from screen to paper.

  6. There may be slight variations between pieces due to the handmade nature of the items. Paper, card and all handmade items may occasionally have tiny imperfections; these are natural flaws and are unavoidable.

  7. Wax seals, silk ribbons and tassels are made to order therefore shades and sizes may vary slightly from batch to batch. 

  8. Wax seals are supplied with a permanent adhesive backing. If you are not delivering your invites by hand you may like to use an outer envelope to protect the seals from damage in the postal system.

  9. Accessories such as wax seals, silk ribbons and tassels increase the thickness of the envelope and may require extra postage when sending. Please check sizes with your post office.

  10. Please note there is a 3mm tolerance for card sizes.

  11. Due to the handmade nature of items we cannot guarantee a 100% exact colour match to samples.

  12. For printing On-the-Day stationery, or any items required by a certain date, you will be informed of the print deadline during the design process. This deadline takes into account any possible delays and time needed to rectify potential issues. If you miss this deadline delivery will no longer be guaranteed by your required date.

  13. If there are any delays due to our suppliers we will inform you immediately.

  14. From time to time our suppliers discontinue products; if this occurs we will inform you immediately and offer suitable alternatives.

 

DELIVERY

  1. UK orders will be sent via Royal Mail Tracked/Special post or by tracked and insured weekday courier dependent on the weight and value of the parcel. 

  2. International deliveries will be sent via Royal Mail International Tracked or tracked and insured courier and may incur tax/duty charges that are not within our control. These charges are the buyer's responsibility. Please check the additional costs prior to purchase.

  3. We will provide an estimate delivery date upon placing your order and a more accurate delivery date when your order is in production.

  4. In order to keep processes efficient your items will be delivered to the address as given on your contract as soon as they are ready. Please ensure there is someone available to sign for the parcel at the address supplied.

  5. Delivery dates are not guaranteed and we are not responsible for any delays caused by Royal Mail or courier services (i.e. due to strikes, bad weather etc).

  6. We do our best to ensure our stationery is packed to arrive in perfect condition. However items which have ribbons or wax seals attached may not lie completely flat and therefore need to be unpacked as soon as they arrive. We recommend large boards lie flat whilst being stored so they do not bend.

  7. We cannot be held liable for any damage during delivery of your stationery. All orders are packaged safely and securely and sent via an insured service. If there is an issue with your order please contact us immediately on receipt and take photos of the damage. We will follow procedure as set by Royal Mail or the courier and will require the parcel returned to us. 

  8. We cannot be held responsible for loss of parcels during delivery due to incorrect addresses supplied.

  9. We cannot be held responsible for any delay in delivery due to late payment. Your order will not be sent to print until we receive the balance payment. 

  10. If your parcel does not arrive within the expected time period we will follow procedure as set by Royal Mail or the courier. 

  11. Please inspect your stationery upon delivery. If there any issues with your stationery please contact us within 24 hours of delivery and we will do our best to resolve them.

 

CANCELLATION

  1. We reserve the right to cancel an order at any time until the order has been delivered, and will refund the customer in full in the unlikely event of this happening.

  2. All of our products are bespoke, personalised and made to order and are therefore not covered by the 14 day cancellation period as stated by the Consumer Contracts Regulations.

  3. Once the order has been sent to print, no monies can be refunded.

  4. We reserve the right to refuse service if we believe it breaches copyright.

 

DESIGN & COPYRIGHT

  1. All design copyright remains with Calendar Paper Co. If you would like to own artwork files (such as monograms or illustrations designed for your stationery) for use on other items not created by us (i.e. on cakes, dancefloors) these will be subject to licence fees with terms of use.

  2. When you order a bespoke design you are paying for the final product, not the files used to create it. This is reflected in the price and no artwork files will be given for you to print independently. All rights and ownership automatically belongs to us, as the creator of the work, unless stated otherwise.

  3. We cannot disclose names of fonts used, or other information that can be used by others to recreate our designs.

  4. Neither you nor a third party may copy any part of Calendar Paper Co. designs (including logo and website) or reproduce them in any way.  

  5. Designs/products may not be re-sold to a third party.

  6. Designs may be used for promotion and re-use. All personal client data will be protected in photographs used for promotion. Please see our Privacy Policy regarding information about GDPR, data and cookies.

  7. It is your responsibility to obtain permission to use any copyrighted material that you wish to feature in the stationery, i.e. poems, illustrations, quotes.

  8. Digital files and samples are for personal use only.
